How to implement AI in a business without starting with the tool

Start with the process, then data and integrations, and only then choose the specific technology.

Choose a workflow you can describe and measure

A good first project has enough volume, relatively clear rules and a concrete metric such as response time, admin hours, lead conversion, booking handling or issue resolution.

1. Inventory repetitive work

Track enquiries, messages, booking changes, lead follow-up, CRM updates, emails, documents and incidents for a week or two. Measure frequency and time.

2. Prioritise impact and feasibility

A high-volume process with many exceptions may be a poor pilot. Start where rules are clearer, risk is lower and success is easy to measure.

3. Review systems and data

CRM, PMS, calendars, email, WhatsApp, telephony, forms and databases need safe ways to exchange information.

4. Design human intervention

Define what the system can handle, when it should ask for more information and when a person takes over with context.

5. Pilot and measure

Compare before and after: first-response time, hours saved, errors, handovers, bookings, leads handled or issues resolved.
